The Employees’ Provident Fund (EPF) is a government-backed savings scheme aimed at providing financial security to employees working in India. The EPF scheme mandates that both employees and employers contribute a portion of the employee’s salary to the EPF account, which accrues interest over time. The Universal Account Number (UAN) is a 12-digit unique number assigned to each EPF member to simplify account management and provide a single platform to access multiple EPF accounts. Despite these measures, employees still encounter various issues with their EPF and UAN accounts.

Incorrect Date of Birth in UAN

a. Reasons for incorrect date of birth: Incorrect date of birth in the UAN can occur due to clerical errors, mistakes made by the employer during data entry, or miscommunication between the employee and employer.

b. Steps to rectify the incorrect date of birth:

  • Log in to the UAN portal using your UAN and password.
  • Navigate to the ‘Modify Basic Details’ option under the ‘Manage’ tab.
  • Enter the correct date of birth and submit the request.
  • The employer will receive a notification for approval. Once approved, the corrected date of birth will be updated in the UAN. c. Documents required for the correction: Generally, an Aadhaar card, PAN card, or passport is required as proof of the correct date of birth.

Incorrect Date of Exit in UAN

a. Reasons for the incorrect date of exit: The incorrect date of exit can occur due to errors made by the employer during data entry or delays in updating the exit date after an employee leaves the organization.

b. Steps to rectify the incorrect date of exit:

Contact your employer and inform them about the incorrect date of exit in your UAN.

The employer can correct the date of exit through the Employer’s EPF portal.

c. Documents required for the correction: No specific documents are needed for this correction, but employees should keep their resignation or relieving letters for reference.

UAN Activation and KYC Issues

a. How to activate UAN:

  • Visit the Unified Member Portal.
  • Click on ‘Activate UAN.’
  • Enter your UAN, name, date of birth, mobile number, and captcha code.

b. Common KYC issues and their solutions: Some common KYC issues include incorrect details, missing documents, or unapproved KYC status. To rectify these issues, update the required details and upload the necessary documents on the UAN portal. The employer will need to approve the changes.

c. Updating KYC details in the UAN portal:

  • Log in to the UAN portal.
  • Go to the ‘Manage’ tab and click on ‘KYC.’
  • Update the required information and upload scanned copies of the necessary documents.

EPF Account Transfer and Withdrawal Issues

a. How to transfer EPF account from the previous employer to the current employer:

  • Log in to the UAN portal.
  • Click on ‘One Member – One EPF Account (Transfer Request)’ under the ‘Services’ tab.
  • Verify personal information and PF account details.
  • Choose the previous employer or current employer for attestation.
  • Submit the transfer request.

b. Common EPF withdrawal issues and solutions: EPF withdrawal issues may arise due to incomplete KYC, incorrect personal details, or not meeting the required criteria for withdrawal. Ensure your KYC details are updated and accurate, and check the withdrawal criteria before submitting a request.

Grievance Redressal for EPF and UAN Issues

If you’re unable to resolve EPF or UAN issues through the standard procedures, you can raise a grievance through the EPF Grievance Redressal System.

a. How to file a grievance:

  • Click on ‘Register Grievance.’
  • Fill in the required details such as your UAN, PF number, name, address, and mobile number.
  • Select the grievance category and provide a description of the issue.
  • Attach any relevant documents, if necessary.
  • Click on ‘Submit’ to register your grievance.

b. Tracking the status of your grievance:

  • Visit the EPF Grievance Management System website.
  • Click on ‘View Status.’
  • Enter your grievance registration number and mobile number.
  • Click on ‘Submit’ to view the current status of your grievance.
It's essential to keep your EPF and UAN details up-to-date and accurate. Familiarize yourself with the processes to rectify common issues and utilize the grievance redressal system when necessary.
